Privacy Policy

Pro Resume Builder (“we”, “us”, or “the Service”) is operated by Pro Resume Builder L.L.C, with a registered business address at 121 Ikard Ave, Owens Cross Roads, AL 35763. You can reach us at privacy@pro-resumebuilder.com.

We collect three categories of information when you use the Service:

• Account data you provide directly: name, email address, hashed password, and any career information you enter (work history, education, skills, wins, resumes, cover letters).
• Usage data we collect automatically: pages visited, features used, IP address, device type, browser version, and approximate location derived from IP.
• Payment data if you subscribe: billing name and last four digits of your card. Full card numbers are processed by Stripe and never touch our servers.
• Voice data if you choose to use voice mode in the AI interview: the audio you record with your microphone. Voice mode is optional — you can always type instead.

We use the data we collect to:

• Provide, maintain, and improve the Service.
• Generate AI-tailored resumes and ATS scoring on your behalf, which involves sending the resume content you author to our LLM providers (currently Anthropic). We do not send your account credentials or payment information to LLM providers.
• Send transactional emails: account verification, password reset, billing receipts.
• Detect and prevent fraud, abuse, and policy violations.
• Comply with legal obligations.

If you use voice mode in the AI interview, your interview audio is sent to our voice provider (xAI) to be transcribed to text and to synthesize spoken responses. Recordings are used only to provide the feature and are not used to train AI models.

We do not sell your data to advertisers. We do not train AI models on your personal data.

We rely on the following service providers to deliver the Service. Each operates under their own privacy policies, which we've vetted:

• MongoDB Atlas (data storage)
• Heroku, a Salesforce company (backend hosting)
• Vercel (frontend hosting)
• Anthropic (AI inference for resume tailoring and scoring)
• Voyage AI (text embeddings for the Rolling Database)
• xAI (voice speech-to-text and text-to-speech for the interview feature)
• Stripe (payment processing, when subscriptions launch)
• SendGrid (transactional email)

We use a small number of cookies, none of them from third-party advertisers:

• Functional authentication cookies that keep you signed in: secure, HttpOnly session cookies carrying your login token (JWT) and a companion CSRF-protection cookie. These are strictly necessary for the Service to work and expire when your session does.
• A marketing-attribution cookie (prb_src) set when you arrive via one of our QR codes or short links, so we know which campaign brought you here. It stores only the campaign code, contains no personal information, and expires after 90 days.

We do not use advertising or cross-site tracking cookies.

We retain your account data for as long as your account is active. If you delete your account, we permanently delete your resume content, work history, wins, and embeddings within 30 days. We may retain billing records and minimal log data longer to comply with tax and legal obligations.

Depending on where you live, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Delete your account and associated data.
• Export your data in a portable format.
• Opt out of certain processing activities.
• Withdraw consent where processing is based on consent.

To exercise any of these rights, email privacy@pro-resumebuilder.com. We'll respond within 30 days.

We use industry-standard safeguards including encryption in transit (TLS), encryption at rest, hashed passwords (bcrypt), least-privilege access controls, and regular security reviews. No system is perfectly secure, but we work hard to protect your data.

The Service is not directed at children under 16 and we do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.

We may update this policy from time to time. Material changes will be communicated via email or in-app notification at least 14 days before they take effect.
